Cub Scouts Recharter and Registration Signup Sheets
Published
Stacy Lin is the pack registrar for Pack 130 in Knoxville TN. Annual recharter is the BSA's most complex paperwork event — every Cub re-registered, every leader re-vetted, every youth-protection certification verified, charter packet submitted to the council by the deadline. Here is the system that makes it work.

How BSA Cub Scouts Use Recharter and Registration
Real ways organizers put signup sheets to work
Youth Re-Registration Form Collection
Each Cub Scout needs a re-registration form, BSA medical form, and current youth-protection consent on file before the recharter deadline. Stacy opens a slot per Cub — boy's name, paperwork status, payment status. Parents check off each form as it's submitted; Stacy reviews from the dashboard. The 'wait, did Tommy's parents sign that form?' problem disappears entirely.
Leadership Re-Registration and Vetting
Every adult leader (Cubmaster, den leaders, committee chair, treasurer) needs annual re-registration plus updated youth-protection training certification. Stacy opens slots for each leader role — name, YPT certificate date, BSA application status. Charter submission requires every leader fully vetted; missing certifications block the whole pack's charter.
Annual Fee Payment Tracking
BSA national fee, council fee, and pack dues total $185 per Cub Scout. Stacy opens a fee-payment slot per Cub — parents check off when payment has been Venmo'd, Zelled, or cash-dropped to the treasurer. Pack treasurer sees real-time who's paid; collection rate reaches 95% by 14 days before the charter deadline.
Returning Family Confirmation
Each existing pack family confirms they're returning for the next year by the recharter deadline. Stacy opens a slot per family for return confirmation; non-respondents get a follow-up call from the Cubmaster two weeks before the deadline. Most years 5 to 8 families don't return; the pack accommodates new family applications to backfill.
New Family Recruitment Coordination
Fall recruitment is the time most new families join. Stacy opens slots for school-night-of-Scouting volunteers (the September event where Scouts demonstrate at the elementary school open house), parents who can interview new families, and a den-leader-pairing committee that places new boys into appropriate Dens. New family backfill takes 4 to 6 weeks.
Webelos Crossover and Roster Adjustment
Webelos II Cubs cross over to Boy Scouts in February. Stacy adjusts the pack roster after crossover — typically 6 to 10 boys leave the pack each year and the same number of new Lions join in the fall. Slot tracks crossover paperwork (BSA application transfer to the receiving troop) and Lions registration paperwork (parent-protection-training, BSA application).
Charter Packet Submission to Council
Final charter packet contains every Cub's re-registration, every leader's vetted application, fee payment confirmation, and the pack's annual program plan. Stacy opens slots for the charter-packet review (typically the Cubmaster, committee chair, and treasurer review before submission) and the post-submission council follow-up. Council typically processes within 4 weeks.
End-of-Charter Recognition Coordination
Some packs run a small recognition ceremony after charter renewal — the Cubmaster's renewal, the committee chair's renewal, the treasurer's renewal. Stacy opens slots for renewal-cards (one parent makes 8 cards), pack meeting recognition setup, and the small thank-you gift coordination for outgoing leaders.
Why BSA Cub Scouts Love SignUpReady for Recharter and Registration
Per-Cub Paperwork Status Tracking
Every Cub gets a slot per paperwork item — re-registration form, medical form, youth-protection consent. Stacy sees the running checklist at a glance. The 'wait, who's missing what?' panic that used to consume the week before the deadline is replaced by a Wednesday-morning sign-off.
Leadership Vetting in One Dashboard
Every leader's youth-protection certification renewal date, BSA application status, and re-registration are tracked at the slot level. Stacy sees who needs to re-take YPT before the certification expires. Last year zero leaders were locked out of the charter for missing YPT — a record that wasn't true the prior 4 years.
Fee Tracking Without Venmo Spam
Treasurer sees who's paid and who hasn't from one signup sheet — instead of scrolling through 60 Venmo transactions trying to match Cub names to last-name-suffix usernames. Reconciliation at end of the recharter cycle takes 30 minutes instead of 4 hours.
Recharter Calendar Built In
BSA recharter has a strict deadline (typically December 31). Stacy's slot due-dates work backward from the deadline — paperwork due 30 days before, fees due 14 days before, council submission 7 days before. On the Plus plan, automatic reminders 7 and 3 days before each due date drive parent action.
Reuse Last Year's Recharter Sheet
Annual recharter is the same workflow every year. Stacy duplicates the prior year's sheet, updates dates, refreshes the leadership roster, and is set in 10 minutes. Three years in, every workflow is templated and the new pack registrar next year inherits the system.
Cubmaster as Co-Organizer
Stacy adds the Cubmaster and committee chair as co-organizers on the recharter sheet. They see paperwork status, fee payment progress, and charter packet readiness in real time. Charter packet review meeting happens off the same dashboard instead of a 90-minute phone call to compare notes.
