Real ways organizers put signup sheets to work
Daily Station Leader Slots
Day Camp runs 18 stations across two age tracks (Lions/Tigers vs Wolves/Bears/Webelos). Stations include archery, BB-gun range, fishing, hiking, knot-tying, fire-building, crafts, and skits. Lakshmi opens slots for each station each day — typically a station leader and a parent assistant. Five days × 18 stations = 90 slot-pairs across the week.
Transportation and Carpool Coordination
Boys carpool from the pack's pickup point to the council camp facility — 25 minutes each direction. Most packs need 8 carpool drivers per direction; parents claim their day across the week so no driver does the whole week.
Lunch Coordination and Allergy Tracking
Boys bring brown-bag lunches; parents organize the cooler-and-pack at the camp pavilion. Lakshmi opens slots for lunch coordinators (3 parents per day to chill, distribute, and dispose of lunches) and a separate slot for an allergy-tracking parent who maintains the camp allergy list and verifies special-meal swaps. One parent volunteer per day takes photos at all 18 stations and uploads to the pack's Day Camp Drive folder by 9pm that night. Camp Health Officer and First-Aid Slots
BSA day camps require a certified health officer onsite all 5 days. The health officer reviews every camper's medical form and is the named first-aid responder for any incident.
Range Officer and Safety Volunteer Slots
Archery and BB-gun stations require BSA-certified range officers. Lakshmi opens slots for the range officers (paid by the council; volunteer parents serve as range assistants/safety officers). Each range needs 1 certified officer and 2 parent assistants per session — 6 sessions per day across 5 days. Total range volunteer slots: 60 across the week.
Awards Ceremony and Final Day Coordination
Friday afternoon ends with an awards ceremony — every Cub gets a participation patch, plus bonus-loop awards for completed station sets. Lakshmi opens slots for awards-table setup, patch distribution, and post-ceremony cleanup. The Cubmaster delivers closing remarks; pack treasurer hands out leftover supplies for use at fall pack meetings.
Pre-Camp Registration and Health Form Collection
Each Cub needs a current BSA medical form (Annual Health and Medical Record), parent-permission slip, and emergency contact info on file before camp.
