How Marching Band Use Band Camp
Real ways organizers put signup sheets to work
Hydration Station and Cooler Restock
Northbrook August hits 95+ degrees with high humidity. Lori opens slots for two parents per camp day to manage the hydration tent — refill the 20-gallon coolers with ice and Gatorade every 90 minutes from 8am to 6pm. Slot description specifies 'arrive 30 minutes before practice starts to set up.' The drum line and pit need their own cooler at the rehearsal podium.
Lunch and Mid-Day Meal Service
Two weeks of camp means two weeks of lunches for 130 kids plus 18 staff. Booster splits between in-house lunches (Monday/Wednesday/Friday) and lunch-out vouchers (Tuesday/Thursday). Lori opens slots for in-house lunch coordinators — 6 parents per day to set up, serve, and break down. Allergy-aware meal swaps tracked in the comment field.
Drill-Set Teaching Aides
Drill sets — the 100+ position changes that make up the field show — get taught in 4-hour blocks across week one. Lori opens slots for parent volunteers who help section leaders place dots and verify alignments. Slot description specifies 'no music background required, just patience and good eyes.' Most teaching aide slots fill the same day they're posted because parents see the field show being built.
Uniform Fitting Day Volunteers
Mid-camp, the booster runs uniform fitting day — every student tries on their bibbers, jacket, and shako. Lori opens slots for fitting-day volunteers — 8 parents across 4-hour windows to handle bibbers (sized 22 to 44), jackets (sized XS to 4XL), and shakos. Returning students fit in 5 minutes; new freshmen need 15 minutes per kit.
Drum Line and Pit Photographer
The drum line and pit (front ensemble) practice separately for the first 4 days of camp before joining the wind ensemble. Lori opens slots for two photographers — one for drum line, one for pit — to capture rehearsal footage that compiles into the 'show in progress' reel for the year-end banquet. Photographers attend at least 6 of the 10 camp days.
Transportation Coordinator for Field-Trip Days
Camp's final Saturday is an exhibition rehearsal at a partner high school's stadium — buses leave Northbrook at 7am, return at 6pm. Lori opens slots for 4 chaperones plus a snack-and-water coordinator. Bus chaperones need to have completed the booster's chaperone-training video. Most boosters re-certify chaperones every August.
Sectional Rehearsal Snack Drop
Brass, woodwind, and percussion sectionals run 90-minute breakouts during camp. Each sectional gets a small mid-rehearsal snack drop — granola bars, fruit, water bottles. End-of-Camp Pizza Party Coordination
The Saturday afternoon of week two ends with an in-uniform exhibition for parents and a pizza party in the band room. Lori opens slots for pizza pickup (40 large pizzas), beverage drop, plates and napkins, post-party cleanup. The exhibition itself takes 35 minutes; the pizza party stretches to 90 minutes as kids decompress from two weeks of marching.
