Bus Chaperone Slots Per Competition
Each competition Saturday means 4 buses (2 student buses, 1 equipment bus, 1 staff bus). Each student bus needs 2 parent chaperones — over 21, completed booster chaperone-training video, current background check on file. Gabby opens slots for each Saturday across the 14-weekend competition season; parents claim by date.
Equipment Truck Escort Coordination
The equipment truck travels separately from the buses — pit equipment, props, podiums, sub-podiums, sound system. Gabby opens slots for two truck-escort parents per competition Saturday — drive ahead of the truck, scout the venue's load-in area, coordinate with venue staff. Truck escorts arrive 60 minutes before the buses.
Prep Tent Volunteers
At the competition venue, the booster sets up a prep tent — uniform check, hair check, makeup station for color guard, last-minute hydration, water buckets for instrument tuning. Gabby opens slots for 4 prep-tent volunteers per Saturday — typically two for uniform check, two for the color guard makeup station.
Post-Show Meal Duty Coordination
Post-show meals run from 6:30pm to 8pm at a venue near the competition site (typically a local pizza chain that the booster has a relationship with). Gabby opens slots for 6 meal-duty volunteers per Saturday — order coordinator, distribution, allergy-tracking, beverage runners, cleanup. The kids need to eat before the awards ceremony at 8:30pm.
Day-Of Manifest and Roll Call
Each competition Saturday starts with roll call at 6am. Gabby opens slots for the day-of manifest manager — one parent who arrives at 5:45am, signs in students, confirms attendance with the band director, and reports missing students to the bus driver. On the Plus plan, manifest export to PDF goes to the band director and activities director by 6:15am.
Competition Day Photographer
Each competition gets a parent photographer to capture the field show, the awards ceremony, and the kids in uniform. Gabby opens slots for one photographer per Saturday plus a backup. Photos compile into the band's annual season recap that goes home in the year-end newsletter and to the booster Facebook group within 7 days.
Pre-Departure Snack Coordination
Buses leave at 7am Saturday morning. Many kids skip breakfast in the rush. Gabby opens slots for one parent per competition Saturday to bring 30 to 50 grab-and-go breakfast items — banana, granola bars, breakfast sandwiches. Drop at the band room at 6:45am; kids pick up on the way to the bus.
First-Aid and Health Officer Slot
BOA and MEPA competitions require a designated first-aid responder onsite. Gabby opens a slot for the rotating first-aid officer (typically a nurse-parent) plus a backup. The first-aid officer reviews student medical forms, packs the band's medical kit, and is the named first-aid responder for any incident on the bus or at the competition.

On the Plus plan, 6am roll call means reminder emails Thursday morning and Friday at 5pm. Reduces no-shows where the assigned chaperone forgot. Last season only one chaperone slot went uncovered across 14 competitions — a record low — because every volunteer parent got a reminder Thursday and Friday before each Saturday.
