Off-Season Prop Construction Workshop Nights
Big halftime shows require custom prop construction during August. Janelle opens 6 workshop-night slots — Tuesday and Thursday evenings in the band room garage — for parent volunteers with woodworking, painting, or general carpentry skills. Slot description specifies 'safety glasses required, kids helpful but not necessary.' Prop construction runs through the first 6 weeks of camp.
Prop Painting and Detail Crew
Once props are constructed, the painting crew takes over — base coat, detail, weatherproof topcoat. Janelle opens slots for 4 paint-day volunteers across two Saturday afternoons. Slot description specifies 'wear clothes you can throw away.' Paint supplies funded by the booster; spray-paint cans + brushes + drop cloths.
Friday-Night Game Prop Setup
Every Friday-night home football game means setting up props on the sideline 30 minutes before halftime. Janelle opens slots for 4 to 6 setup volunteers per home game — load props from the truck to the field, position by mark, deploy at the right moment in the show, retrieve at the end of halftime. Setup runs from arrival through halftime exit.
Saturday Competition Prop Transport
Saturday competitions mean loading the truck Friday afternoon, driving to the venue Saturday morning, unloading and staging at the venue, then loading and driving back after the show. Janelle opens slots for truck-loading crew (Friday afternoon), unloading crew (at-venue Saturday morning), and reloading crew (post-show). Most weekends need 6 volunteers per shift.
Mid-Season Prop Maintenance and Repair
Halftime weather damages props — wind, rain, sun fading. Janelle opens slots for mid-season prop-maintenance volunteers — every other weekend a 2-hour prop-tune-up Saturday morning. Repairs include re-painting, re-attaching loose elements, replacing weather-damaged hardware. Most boosters need 3-4 mid-season tune-up days.
Prop Storage and End-of-Season Inventory
After the final competition, props go into storage — the booster's rented storage unit at the south end of town. Janelle opens slots for the storage day (Saturday after final competition) — 6 volunteers to disassemble removable elements, stack props, and inventory what's salvageable for next year and what needs replacement. Inventory memo goes to the booster purchase committee for next-year budget planning.
Show-Element Photographer
Each prop element gets its 'in show' moment captured by a parent photographer for the band's annual yearbook video. Janelle opens slots for one prop-photographer per home game and one per Saturday competition — captures the prop-deployment moment in the show, the kid faces during prop interaction, and the awards-ceremony moment with prop in background. Photos compile into the annual recap.
Tools and Hardware Coordination
Prop construction and maintenance need tools — drill, saw, sander, drill press, glue, screws, paint, brushes. Janelle opens slots for the tools coordinator — one parent who maintains the booster's prop toolkit, restocks consumables, and pre-stages tools for each construction or maintenance day. Toolkit lives in the storage unit between sessions.
