Friday-Afternoon Truck-Loading Crew
Friday afternoons before competition Saturdays mean loading the 26-foot truck with the percussion equipment, props, podium, and sound system. Trent opens slots for 8 loading volunteers — Friday 4pm to 7pm at the band room. Slot description specifies 'wear closed-toe shoes, no flip-flops.' Most loading days take 2.5 hours with 8 parent volunteers.
Percussion Cart Transport Coordination
Marimbas, vibraphones, timpani, and drum-line sub-podiums travel on individual carts. Each cart needs an escort during truck loading and venue unloading. Trent opens slots for 4 cart-escort volunteers per Friday loading and Saturday unloading — assigned to specific carts so no escort crosses paths.
Sound System Setup at the Venue
The pit's amplification system goes on the field 30 minutes before the band performs. Trent opens slots for sound-system parents — typically 2 parents per Saturday who help set up speakers, mics, and the cable run from the press box to the field. Slot description specifies 'must complete pre-season sound-orientation.'
Drum-Line Trailer Towing Coordination
Some programs use a separate drum-line trailer pulled by a parent's pickup truck. Trent opens slots for the drum-line trailer driver — parent with a half-ton or 3/4-ton pickup, current insurance, current driver-orientation completion. Slot description specifies 'orientation video must be completed before claiming.' Most programs need a primary driver and a backup.
Tools and Hardware Coordination
Truck crew uses tools — straps, ratchets, dollies, hand-trucks, padding blankets. Most boosters need 6 to 8 unloading volunteers per Saturday; the crew typically rotates so parents commit to 3 to 5 weekends across the season.
Post-Show Reloading Crew
After the band's performance, the crew reloads the truck with all the equipment in reverse order. Trent opens slots for 8 reloading volunteers per competition Saturday — 30 minutes after the band's performance ends. Most reloads take 2 hours; truck departs the venue 2.5 hours after the band finishes performing.
Mid-Season Equipment Maintenance
Halftime weather damages equipment — wind, rain, sun fading on the props, water damage on the sound system. Trent opens slots for mid-season maintenance volunteers — every other weekend a 2-hour equipment-tune-up Saturday morning. Repairs include re-wrapping cables, tightening hardware, replacing weather-damaged parts.
