Real ways organizers put signup sheets to work
Bibbers Sizing Station
Bibbers (the high-waisted suspender pants) come in 18 sizes from 22 to 44. Henry opens slots for two parents per fitting-day shift to staff the bibbers station — measure, fit, log size to the student record. Booster keeps a wall-rack organized by size; returning students grab their previous year's size first and adjust. New freshmen take 10 minutes to fit.
Jacket Sizing Station
Jackets come in 12 sizes from XS to 4XL with 3 sleeve-length variants. Henry opens slots for two parents per shift on the jacket station. The lining check (clean, no tears, no stains) happens at the same time as fitting. Jackets that fail inspection go to the booster's tailor for repair before competition season.
Shako and Plume Station
Shakos (the tall hat) come in 4 sizes; plumes (the feather plume) get assigned by section color (brass = red, woodwind = white, percussion = blue, color guard = silver). Henry opens slots for one parent per shift on this station. Shakos get fit-checked for chin-strap length; plumes get inserted and trimmed if needed.
Gauntlet and Glove Distribution
Gauntlets (the wrist-cuff accessories) and white marching-band gloves are issued at fitting day along with the main uniform. Henry opens slots for two parents to handle the gauntlet-and-glove station — one parent organizes by size, one handles the kid-by-kid sizing. Glove sizes range from XS (3rd grade volunteer field crew) to 2XL.
Per-Student Inventory Logging
Each student's uniform components get logged into the booster's master inventory spreadsheet — bibbers size, jacket size, shako size, plume color, gloves size, gauntlets size, return date stamp. Henry opens a slot for the inventory logger — typically a parent comfortable with spreadsheets. Logging happens in real time at the booster table next to fitting stations.
Tailor Coordination for Hemming and Repairs
Bibbers always need hemming. Some students need waist-letting-out or shoulder-tightening on the jacket. Henry opens slots for the tailor liaison — one parent who collects garments needing alteration, drops at the booster's partner tailor (typically a local seamstress with a multi-year contract), and returns altered pieces to students within 5 days.
End-of-Season Uniform Return Day
After the last competition, the booster runs a single 4-hour return-day window. Henry opens 8 parent-volunteer slots — return inspectors, jacket cleaners, shako wipe-down crew, and inventory verification. Every student checks in by section, returns 6 pieces, and signs out. Missing-uniform bills go out the next week to families with outstanding items.
Off-Season Uniform Audit Volunteers
In May after the spring concert, Henry runs an off-season uniform audit — count bibbers by size, count jackets by size, log stains and tears, recommend new purchases for the booster purchase committee. Three parents claim a half-day each, working from a printed checklist. Audit memo goes to the booster president by mid-May for the new-year budget cycle.
